Cal Poly’s New Student & Transition Programs (NSTP) is focused on providing the best transition possible to incoming students at Cal Poly. Utilizing three unique programs, NSTP helps students through the many aspects of the college transition. Focusing on both academics and the social transition, NSTP aims to make the process of coming to Cal Poly as smooth as possible.
 
Student Life Orientation (SLO) Days – New students will get their first on campus experience as new Mustangs. Make connections with new students, leaders, and your college and explore campus and the San Luis Obispo community in this two-day, overnight event. Dates between July and mid-August. Registration for Student Life Orientation Days opens March 2016. Space in each session is limited and not guaranteed until reception of payment upon registration. Our summer orientation program is mandatory for all new students.
 
Week of Welcome - Known simply as “WOW”, Week of Welcome is a nearly 60 year-old tradition at Cal Poly taking place in September leading up to and around your first days of class. Start off your career as a Mustang in this full immersion week! In your group you will meet your WOW Leaders, move-in, kick off the year with the Big Fall Welcome, explore the central coast, start on your Journey to Academic Success, and make life-long connections. Mandatory for all new students, starting September 17 through the first day of classes September 22. Registration to new students opens March 2016.
 

Essential Functions

Reports to: Administrative Support Coordinator

Estimated hours per week: 15-20

Availability: 15-20 hours per week; hours may increase during heightened programming. **Note: Must be available for several hours on Thursdays and Tuesday afternoons for Winter Quarter.

Pay rate: $11.00/hour

Seeking a team player with a positive attitude and excellent customer service to assist with NSTP operations and administrative responsibilities.

 

Position Description

General Description

The Student Assistant provides direct support to the Administrative Support Coordinator and general support to the professional staff of NSTP. The following expectations specify the nature of the position.

 

Qualifications

The Student Assistant will:

  • Be able to communicate and interact positively and effectively with staff and students
  • Possess sound judgment and strong organizational skills
  • Possess the ability to function autonomously
  • Be able to accurately type at least 40 words per minute
  • Be familiar with word processing, computer data entry, filing and telephone reception
  • Be able to work 15-20 hours per week between 9:00AM and 5:00PM, Monday through Friday
  • Maintain a minimum cumulative GPA of 2.3
  • Maintain good disciplinary standing with the University
  • Maintain enrollment in the minimum number of units required by University policy (6 units/quarter)
 

Administrative Responsibilities

The Student Assistant will:

  • Assist with daily operations of the NSTP
  • Answer phones and greet visitors to the workspace in E10 and E7 when needed
  • Assist staff and students by providing accurate information regarding NSTP and by using sound judgment to make appropriate referrals
  • File, scan, copy and fax items ensuring that records are accurate
  • Process mail and distribute to staff appropriately
  • Type letters, develop forms and develop processes, as needed
  • Maintain office supply inventory, keeping office supply cabinet and paper supply stocked
  • Scheduling appointments for staff as assigned
  • Scheduling room reservations as assigned
  • Run on-campus errands
  • Assist the Administrative Support Coordinator with the prompt processing and delivery of budget related documents
  • Be familiar with all aspects of office operations
  • Be familiar with the programs, services, policies and procedures of NSTP
  • Be on time for work and work hours as scheduled
  • Make effective use of work time and work successfully in an open office environment
  • Complete time sheets promptly, accurately, and submit them by the deadlines specified
  • Complete all tasks assigned in an accurate, prompt and thorough manner
  • Assist with other tasks and projects as assigned
 

Customer Service Responsibilities

The Student Assistant will:

  • Provide accurate information to students and visitors concerning NSTP programs, policies, procedures and services
  • Present a positive image of the NSTP through conduct and appearance
  • Respond appropriately to questions, requests, and concerns of current, admitted and prospective students and supporters
  • Be receptive and sensitive to students and supporters when approached for assistance
  • Refer problems or potential problems to a supervisor
 

Responsibilities to Supervisor:

The Student Assistant will:

  • Serve as a communication link and department representative between students, staff, and visitors
  • Take initiative in suggesting and assisting with projects that might contribute to improving operations and procedures
  • Keep all matters confidential
  • Be supportive of supervisor, staff and the NSTP Office
  • Carry out all tasks and responsibilities delegated by supervisor
  • Conduct ongoing self-evaluation and keep work up to acceptable standards
 

Responsibilities to Other University Personnel:

The Student Assistant will:

  • Be familiar with the roles and responsibilities assumed by other University personnel
  • Be friendly to and cooperative with other University personnel
  • Work collaboratively and respectfully with Student Academic Services and Dean of Students staff who share the workspace in E10
  • Understand the role of the Student Assistant as a part of NSTP and Student Affairs staffs and establish effective working relationships with all personnel
 

Terms of Employment

  • Employment will begin March 2018 and will last through September 2018
  • Rate: $13/hr for summer months only
  • Weekly Commitment:
    • March – May: 10-15 hrs/week
    • June – September: 15-20 hrs/week
  • Work at a regularly scheduled shift during the time of employment excluding official university holidays and breaks. Time off must be discussed with and approved by the supervisor in advance.
